General Membership Overview

What is HCCA?

Hill Country Cricket Association (HCCA) is a 501(c)(3) non-profit organization founded in 2002, dedicated to promoting cricket and celebrating cultural diversity in Central Texas. With over 500 members representing 8+ nations, HCCA is Central Texas’s premier cricket organization serving Austin, Round Rock, Cedar Park, Leander, and surrounding communities.

What membership types does HCCA offer for 2026?

HCCA offers: Adult ($350, ≈$29/month), Youth U11/U13/U15 ($300 membership + mandatory hardball training), Family – Youth Softball ($500, ≈$42/month for 1 Adult + up to 2 Youth), and Student ages 15–21 ($250, ≈$21/month). Sponsorship or assistance is available for those who need financial help.

Who can become a member?

HCCA is open to interested players of all ages, genders, nationalities, and skill levels. Adults, youth players, students, and families interested in cricket are all welcome. Youth under 15 join Youth categories (with mandatory training for hardball), students aged 15–21 qualify for Student membership, and families interested in softball can choose Family membership.

What is HCCA’s mission?

HCCA’s mission is to promote humanistic values by celebrating cultural diversity that exists in people of different backgrounds brought together by the sport of cricket. The organization emphasizes empowering youth, excellence in sport, and building community and character through cricket.

What is HCCA’s non-profit status?

HCCA is a 501(c)(3) non-profit organization (EIN: 74-3025694), meaning all donations are tax-deductible. HCCA is registered with major corporate giving platforms such as Benevity and Blackbaud/YourCause, and encourages members to check with their employers about matching contributions for donations.

Can I pay monthly?

No. The "per month" amounts shown (e.g. ≈$29/month for Adult) are for reference only—to help you compare costs. The payment plan applies only to Training Fee: U11/U13 use 4 installments (first at enrollment, then Apr 15, July 15, Sept 15); U15 uses 2 payments (second due June 15). Membership fee must be paid in full—no installments.

What is the Adult membership fee?

Adult membership is $350 for the 2026 season (approximately $29/month). This covers membership eligibility, facility access, and participation in HCCA adult cricket activities and the Austin Premier Cricket League (APCL).

What are the Youth U11/U13/U15 membership and training fees?

Youth U11, U13, and U15 membership is $300 (approximately $25/month). Training is mandatory for all Youth hardball players and is charged separately: U11 and U13 training is $1,100 for 50 sessions (≈$92/month), plus a separate HUB Tournament Fee of $125 paid when registering for tournaments; U15 training is $750 for 25 sessions (≈$63/month).

Can I pay only the Youth membership fee without training?

No. For Youth U11, U13, and U15 who play hardball cricket, enrollment in the HCCA Youth Training Program is mandatory. You must pay both the Youth Membership fee ($300) and the age-appropriate training fee; Youth membership alone is not allowed for hardball players.

Is hardball training mandatory for Youth U11, U13, and U15?

Yes. Any youth under 15 who wishes to play hardball cricket through HCCA must enroll in the official HCCA Youth Training Program for their age group. Hardball participation at HCCA facilities or in HCCA Youth teams is not permitted without being in the training program.

What does Youth membership plus mandatory hardball training cost for U11, U13, and U15?

For Youth hardball players, the combined costs are:

  • U11 or U13: $300 (membership) + $1,100 (50 training sessions) = $1,400 per player; add HUB Tournament Fee $125 when participating in tournaments
  • U15: $300 (membership) + $750 (25 training sessions) = $1,050 per player

Household discounts apply only to membership amounts, not to training fees.

What is the Family (Youth Softball) membership and what does it include?

Family (Youth Softball) membership is $500 (approximately $42/month for 1 Adult + up to 2 Youth). It works best when you have household youths who want to play Softball. It includes softball cricket activities, access to HCCA facilities, community events, and Intro to Cricket programs for families whose kids are not in the under-15 hardball training program. If you have students and no youths in your household, Adult + Student membership may be more cost-effective—use the Membership Fee Calculator to compare.

Does Family membership include hardball or youth league participation?

No. Family membership does not include hardball training or youth league participation. Youth who wish to play hardball must move to Youth Membership plus mandatory Training; there is no hardball option under Family membership. If you have household youths who play hardball only (no softball), Adult + Youth membership may be more cost-effective—use the Membership Fee Calculator to compare.

With Family membership, can I train my youth with hardball independently at HCCA facilities?

No. For youth safety, limited facilities, and program integrity, all youth U15 and under who train with hardball at HCCA facilities must be part of the HCCA Youth Training Program and play for HCCA Youth team(s) in leagues that HCCA competes in. Independent hardball training by Family members is not permitted.

What is the Student membership and who is it for?

Student membership is $250 (approximately $21/month) and applies to members aged 15–21 who are actively attending school full-time. Full-time students are welcome to play cricket with HCCA.

What happens when a player turns 15?

Players aged 15–21 are eligible for Student membership. Training fees and youth program participation do not automatically transfer and depend on program availability and the appropriate playing level.

What if I have Youth ages 16–18 interested in playing cricket?

HCCA does not currently have a U18 training program. Youth ages 16–18 who are full-time students are eligible for Student membership ($250). Multiple members of the same household may receive the household discount. For non-students in this age range, contact the HCCA Board to discuss options.

Household Discount & Family Scenarios

How does the $50 household discount work?

A $50 discount applies per membership (Adult, Youth, or Student) within the same household. The discount is applied only to membership fees, not training fees, and a household is defined as parents/guardians and dependent children living at the same address.

What is the fee when I am an Adult member with Youth under 15 in the HCCA Youth Training Program?

For the same household, adults with Youth under 15 in the training program receive a $50 discount per membership. For example:

  • Adult + 1 Youth = $350 + $300 = $650 − $100 discount = $550
  • Adult + 2 Youth = $350 + (2 × $300) = $950 − $150 discount = $800
  • Adult + 3 Youth = $350 + (3 × $300) = $1,250 − $200 discount = $1,050

Each Youth under 15 must also pay the mandatory U11/U13/U15 Training fee.

What is the fee when I am a parent with more than one Youth under 15 in the HCCA Youth Training Program (no Adult membership)?

Parents with multiple Youth under 15 in the training program receive a $50 discount per youth membership. For example:

  • 2 Youth under 15 = $300 × 2 = $600 − $100 discount = $500
  • 3 Youth under 15 = $300 × 3 = $900 − $150 discount = $750

Each Youth must also pay the applicable mandatory training fee. Parents or guardians must accompany their Youth under 15 at all times.

What if I have multiple children in different age groups?

Each child is charged based on their specific age group and training program. Training sessions and fees cannot be combined or averaged across siblings; each youth must be enrolled in their own age-appropriate training program.

What is the best option if I am a HCCA member and have kids/family interested mainly in learning cricket (softball)?

Family membership works best when you have household youths who want to play Softball. If your kids are not yet ready for hardball, Family membership lets them learn cricket with softball using HCCA facilities, attend HCCA events, and join Intro to Cricket programs. When your child is ready to move to hardball, they must transition to Youth Membership plus mandatory Training. Registration & Eligibility

What does "member in good standing" mean?

A member in good standing has paid their annual membership contribution, signed all required forms (Code of Conduct, Liability Waiver, Declaration of Good Health), and supports the objectives and rules of HCCA. Membership expires on December 31st each year unless renewed.

How are age groups determined for membership and training?

Age groups are determined based on the player’s age as of the HCCA-defined cutoff date for the 2026 season. If a player moves into a new age group mid-season, fees already paid are not refundable, though eligibility for higher programs may be reviewed by the Youth Committee.

Who is eligible for the HCCA Student discount?

Members between 15 and 21 years of age who are actively attending school full-time are eligible for the Student membership.

With Family membership, can my youth later join the hardball Youth Program?

Yes. Families can transition into the Youth Program when the player is ready to play hardball by contacting the HCCA Youth Coordinator. At that time, you must enroll in both Youth Membership and the mandatory Training program.

Is Youth Training included in the Youth Membership fee?

No. Youth Membership ($300) and Training fees ($1,100 for U11/U13 or $750 for U15) are charged separately. However, for Youth hardball players, paying both membership and training is required—Youth membership alone is not permitted.

What is the HUB Tournament Fee for U11/U13?

The HUB Tournament Fee is $125 per U11/U13 player and is paid separately when registering for tournaments. Parents pay at the time of tournament registration; you pay only when your child participates in a tournament. This fee is not included in the $1,100 training fee.

How do I register for HCCA membership?

Complete the registration form on the HCCA website (www.hccacricket.org). There is one combined form for membership and consent. Then submit payment using one of our standard methods (Zelle, bank transfer/check, or PayPal – see Payments section below). For Youth U11/U13/U15 hardball, remember that both membership and training are mandatory. Your membership is confirmed once we receive and apply your payment or an approved financial assistance arrangement.

Corporate Matching Program

What is corporate matching and when should I use it?

Corporate matching is a way for your employer to match your charitable donations to HCCA, often doubling your impact. It is intended for donations only and does not replace required membership or training fee payments. We encourage families to use corporate matching for extra support of scholarships, facilities, and youth programs.

Can corporate matching be used for membership and training fees?

No. Corporate matching programs are designed for charitable donations and cannot be used to pay required membership or training fees. You must pay all membership and training fees directly to HCCA using our standard payment methods (for example, Zelle, bank transfer/check, or PayPal).

Corporate matching is still encouraged as a way to make extra, tax-deductible donations that support scholarships, facilities, and youth development.

How do I make a donation using my company’s matching program?
  1. Log in to your employer’s giving/matching portal (e.g., Benevity, Blackbaud/YourCause, or another corporate platform).
  2. Find “Hill Country Cricket Association” or enter our EIN: 74-3025694.
  3. Initiate a charitable donation for the amount you wish to give (this is separate from any membership or training fees you owe).
  4. After submitting, take a screenshot showing your name, the nonprofit (HCCA), the donation amount, and the date.
  5. Email the screenshot to accounts@hccacricket.org and CC hcca_bod@googlegroups.com, along with a short note (for example: scholarship support, facilities, or general donations). We then track your donation and any matching funds from your employer for acknowledgement and reporting. This does not replace your required membership or training fee payment.
What if HCCA is not listed in my company’s matching system or they use a different platform?

If you cannot find HCCA, email hcca_bod@googlegroups.com with your employer name and platform. As a 501(c)(3), HCCA can register with most systems using our EIN (74-3025694). Our board can help answer questions and track matching gifts. Once HCCA is added, you can submit your match, send us the screenshot, and we will track your donation and the company match.

What information does my company need to process a match to HCCA?

Typically, they will ask for:

  • Legal name: Hill Country Cricket Association
  • EIN (Tax ID): 74-3025694
  • Organization type: 501(c)(3) Non-Profit
  • Address: 300 Borho Dr, Round Rock, TX 78681
  • Your donation amount and date

If your employer requires additional documents or verification, contact treasurer@hccacricket.org and we will provide what they need.

Payments, Refunds & Renewals

Can I use a different payment method if I cannot pay via Zelle or bank transfer?

Yes. If Zelle or bank transfer does not work for you, contact the HCCA Board to arrange an alternate payment method. We will work with you to find a suitable option.

What payment methods are accepted, and which is preferred?

Preferred for membership and training fees: We prefer full payment via Zelle when possible. Zelle and bank transfer/check are our preferred methods. Accepted payment methods are:

  • Zelle (preferred): Send to accounts@hccacricket.org via your bank’s Zelle app.
  • Bank transfer or check: Payable to Hill Country Cricket Association. Contact treasurer@hccacricket.org for details.
  • PayPal: Send to accounts@hccacricket.org. Fees apply; other methods preferred.

In all cases, include a clear memo describing who and what the payment is for. Corporate matching is used only for additional charitable donations and does not replace membership or training fee payments (see Corporate Matching section).

How does HCCA handle payment safety?

For your protection, all payments to HCCA must go only to our official account accounts@hccacricket.org (for example, via Zelle or PayPal using that address). HCCA will never ask you to send money to a personal account.

If you ever receive a payment request that does not use accounts@hccacricket.org, please treat it as suspicious and contact us at contact@hccacricket.org before sending any funds.

What details must I include in the memo or payment description?

For every non-matching payment, include:

  • Member full name(s)
  • Membership type(s) (Adult, Youth U11, Youth U13, Youth U15, Student, Family)
  • Youth age group(s) and quantity (e.g., “2 × U13, 1 × U11”)
  • For training fee installments: "Youth Training – [Month] Installment" (e.g., Youth Training – May Installment)
  • For Adult members playing in APCL, the adult team name

John Doe – Adult (APCL: HCCA Starz); 2 × Youth U13 (Aryan, Riya); 1 × Youth U11 (Kabir); 2026 Membership + Training

This level of detail ensures we can correctly apply your payment to all members in your household.

What should I send if I make a donation through corporate matching?

After you submit your corporate match/donation request, take a screenshot showing your name, HCCA as the nonprofit, the amount, and the date. Email that screenshot to accounts@hccacricket.org and CC hcca_bod@googlegroups.com, and we will track your donation and any matching funds for acknowledgement and reporting. Remember that this is separate from your membership or training payment; you must still pay required fees via Zelle, bank transfer/check, or PayPal.

What are the payment options for Youth Training?

U15 Group

  • Option 1 — Full Payment (Zelle): Due at enrollment — Membership Fee + $750
  • Option 2 — 2 Payments (Zelle): Due at enrollment — Membership Fee + $400; due June 15 — $350 (total training fee: $750)

U11 & U13 Groups

  • Option 1 — Full Payment (Zelle): Due at enrollment — Membership Fee + $1,100
  • Option 2 — 4 Payments (PayPal Invoicing): Due at enrollment — Membership ($300) + first installment ($275) = $575; remaining $275 installments due Apr 15, July 15, Sept 15 (total training fee: $1,100)

How does the Pay now and Pay later option for Training Fee work?

U11/U13: Training Fee is split into 4 quarterly installments ($275 each). Pay at enrollment = membership + first installment ($575 per U11/U13); remaining installments due Apr 15, July 15, Sept 15. U15: Training Fee is split into 2 payments — pay at enrollment (Membership + $400) and June 15 ($350). Membership must always be paid in full at registration—no installments.

Example — 1 Youth U13:

  • Membership: $300
  • Training Fee (total): $1,100 → 4 installments of $275 each
  • Pay at enrollment: $300 + $275 = $575
  • Pay by Apr 15, July 15, Sept 15: $275 each

Example — 2 Youth (1 U11 + 1 U15):

  • Membership: $600 (2 × $300, minus household discount if applicable)
  • U11 Training: $275 now + $825 (3 installments due Apr 15, July 15, Sept 15)
  • U15 Training: $400 now + $350 (due June 15)
  • Pay at enrollment: Membership total + $275 + $400
  • Pay later: U11 installments 2–4 + U15 $350 by June 15

What happens if I miss an installment payment for U11/U13 training?

If any installment payment is missed or overdue, access to HCCA facilities and programs will be temporarily suspended until the account is brought current. By enrolling in the 4-installment plan, you commit to completing all four installments (full $1,100) by year end.

What happens if I miss the U15 Part 2 payment (due June 15)?

If the U15 second payment ($350, due June 15) is missed or overdue, access to HCCA facilities and programs will be temporarily suspended until the account is brought current. This policy applies to all youth training payment plans and ensures fairness to families who honor their commitments.

Can I participate before payment is complete?

No. Without completed payment of required membership and (if applicable) training fees via our standard payment methods, there is no training, no league play, and no facility access, unless formal financial assistance has been approved. Corporate matching donations are appreciated but do not count as payment toward required fees.

Are membership or training fees prorated for late joiners?

Membership fees are not prorated. Training fees may be prorated only at the discretion of the Youth Committee, based on remaining sessions and program capacity. Full payment (or approved assistance/matching arrangement) is required before participation.

Are membership or training fees refundable?

Membership fees are non-refundable once the season begins. Training fees are non-refundable after training sessions start, except in extraordinary circumstances approved by the Board. Missed sessions due to travel, injury, or personal reasons are not refundable.

Can my child miss training sessions and receive a credit?

No. Training fees cover program availability and coaching, not per-session attendance, so missed sessions are not credited.

Can I upgrade or downgrade my membership mid-season?

Membership changes mid-season are generally not offered. If you have a special situation, please contact hcca_bod@googlegroups.com to discuss options with the Board.

Facilities & Access

What facilities does HCCA have?

HCCA maintains world-class cricket facilities at the Hill Country Cricket Ground, located at 300 Borho Dr, Round Rock, TX 78681 (Southwest Williamson County Regional Park). The ground includes:

  • Five practice nets
  • Team equipment
  • Practice availability throughout the week as per allotted slot
Can Family members use facilities for softball only?

Yes. Family members may use HCCA facilities for softball cricket, community events, and Intro to Cricket programs. Hardball use for youth requires Youth Membership plus enrollment in the mandatory Youth Training Program.

Can I use HCCA facilities if I have unpaid fees?

No. Facility access is restricted if membership or training fees are unpaid, unless a financial assistance arrangement has been formally approved.

What is the Facility Use Policy, especially for nets?

All members must follow the HCCA Facility Use Policy to ensure safety, fairness, and the longevity of our grounds. The following rules apply to the nets and facility areas:

  • Keep all gates closed at all times. Secure gates when entering and exiting the facility.
  • Do not store cricket kit or equipment near the gates. Items left near gates can obstruct access and create hazards.
  • Do not lean on the nets or the fence. Leaning can damage the structure and cause injuries.
  • Cricket bags and equipment must remain outside the net enclosure. No bags or kit are permitted inside the nets.
  • Smoking, food, and drinks are prohibited in the nets and facility areas to maintain a clean and safe playing environment.
  • HCCA facilities may be used only by current members in good standing.
  • Respect your allocated practice slot. Vacate on time so the next group can begin promptly.
  • Report any damage or safety concerns to the Board or Infrastructure Director immediately.
  • Comply with all park regulations. HCCA facilities are located within Southwest Williamson County Regional Park; members must follow both HCCA rules and park rules.

Violations may result in a warning, suspension, or loss of facility access, as determined by the Board.

Governance & Organization

How is HCCA governed?

HCCA is a non-political, non-religious 501(c)(3) non-profit corporation dedicated to promoting cricket in Central Texas. It operates under democratic governance with full member participation. Written bylaws define structure, responsibilities, and procedures. HCCA holds a yearly Annual General Meeting (AGM) and conducts Board elections democratically. For questions, contact the Board at hcca_bod@googlegroups.com.

Who are the Board of Directors?

The Board of Directors (BOD) includes: President, Secretary, Treasurer, Director of Communications, Director of Recruitment and Infrastructure, League Play Director, and Youth Director. Board members serve two-year terms and are eligible for re-election. Directors must be current members in good standing for at least one year; the President and Treasurer must have completed (or be completing) at least one full term year of prior Board service. All BOD members sign annual Conflict of Interest Disclosure Forms per bylaws.

When is the Annual General Meeting (AGM) and what happens?

The AGM is held at least once a year, generally around November or December. Members receive 14 days’ written or email notice; the agenda is communicated at least 5 days before the meeting. The AGM includes: election of new Board members, financial report by the Treasurer, discussion and voting on bylaw amendments, and other business. If attendance is insufficient, the President may adjourn and reschedule within 7–30 days; the rescheduled meeting proceeds regardless of attendance.

How are Board members elected?

Nominations are submitted in writing to the nomination committee chair. Nominations and withdrawals may be made up to 48 hours before the AGM. Elections are conducted by secret ballot during the AGM; the candidate(s) with the most votes fill vacancies. Only Regular members in attendance (or by proxy if allowed) may vote.

Can the bylaws be changed?

Yes. Bylaws may be altered, amended, or repealed by at least two-thirds of voting members at the AGM or a special meeting, or via electronic vote. Proposed amendments must be provided to members in good standing no less than 5 calendar days before the meeting. Amendments may be distributed by email, WhatsApp, or other official Board-authorized methods. Recent amendments (November 2025 AGM) include: President and Treasurer eligibility requiring prior Board service, 5-day advance notice for bylaw amendments, and enhanced Conflict of Interest policy. The full HCCA Bylaws (Version 13, December 2025) are available from the Board or on the HCCA website.

What is a conflict of interest and what must I do?

A conflict of interest exists when a person’s personal interests, relationships, or activities interfere (or appear to interfere) with their judgment, lead to improper use of HCCA resources, or compete with HCCA. If you have a conflict, you must disclose it to the Board or committee, leave the meeting during discussion and voting on the matter, and allow disinterested members to decide. Failure to disclose may result in disciplinary action, including removal. Each director, officer, committee member, and employee must annually sign a Conflict of Interest statement.

Who approves financial transactions?

Transactions above $500 require approval from the President and Treasurer. Transactions above $1,500 require approval from the President, Treasurer, and at least one other Board member. Approvals must be documented via official HCCA Board email. The Treasurer presents the annual financial standing (revenue, expenses, assets) at the AGM.

How are disciplinary issues resolved?

The Board of Directors acts as the disciplinary committee. The Board may also form a separate committee for specific conflicts. Membership may be terminated if the Board or a majority of members vote to terminate, or if a member is not in good standing.

What happens if HCCA dissolves?

Upon dissolution, after paying liabilities, all assets will be disposed of for HCCA’s purposes or transferred to other 501(c)(3) organizations, or to federal/state/local government for public purposes, as determined by the Board.

Is HCCA affiliated with USA Cricket?

Yes. HCCA is an official USA Cricket youth development hub and maintains USA Cricket recognition for its youth programs and development pathways.

Policies, Safety & Code of Conduct

What accident medical benefits do Adult members get?

HCCA 2026 Adult members have accident medical insurance coverage while participating in scheduled, sponsored, and supervised HCCA activities, including direct travel to and from those activities.

Scope: Excess coverage.

Accident Medical Expense Benefits: $25,000 maximum benefit; dental expenses subject to benefit maximum; $1,000 deductible; 52-week maximum benefit period from date of covered accident; 90-day incurral period.

Accident Death and Dismemberment: $10,000 principal sum; 365-day incurral period.

  • Bullying, hazing, and inappropriate behavior: Prohibited under federal and state law; SafeSport requires mandatory reporting of abuse within 24 hours.
  • Background checks: Required for staff and volunteers.
  • Insurance: Sports injury and commercial liability coverage for all assets involved in HCCA Youth activities.

Does HCCA have a code of conduct?

Yes. HCCA expects all players, parents, and spectators to show sportsmanship, respect officials and fellow members, and follow safety guidelines. The organization emphasizes teamwork, respect, discipline, leadership, and cultural appreciation. Violations may lead to warnings, suspension, or revocation of membership as decided by the Board.

Is there a liability waiver requirement?

Yes. All members, or parents/guardians for minors, must sign a liability waiver, consent form, Code of Conduct, and Declaration of Good Health before taking part in training, matches, or using HCCA facilities. These are required to be considered in good standing. There is one combined form for membership and consent available on the HCCA website.

Can HCCA update membership fees, training structures, or policies?

Yes. HCCA reserves the right to update membership fees, training structures, and policies in the best interest of safety, fairness, and long-term program sustainability.

What if I need sponsorship or financial assistance?

If you need help with fees, please contact the HCCA Board at hcca_bod@googlegroups.com with details of your situation. Requests are confidential and considered based on available sponsorship and assistance funds.
